Why Am I Still Doing Quotes and Admin at Night?

For many Australian tradies, finishing the physical job does not mean finishing work.

There are still calls to return, quotes to write, jobs to schedule, invoices to send and customers waiting for an answer.

A Gold Coast startup has just raised $5 million around the idea that this problem is large enough to build an entire business around.

Sophiie AI was founded in 2024 by Jacob Banks, Luke Kelleher and Juan Castro. The company develops artificial intelligence tools for trades and service businesses, including handling enquiries, customer communication, scheduling, quotes and other administrative tasks.

Startup Daily reported on 17 August that the business had secured a $5 million seed round valuing it at $30 million, with plans for further product development and international expansion. The publication described administration as an estimated 16 hours a week of work for a tradie.

Whether an individual business spends exactly that amount is less important than the underlying problem.

Admin has a habit of moving into the hours that were supposed to belong to the owner.

Why does tradie admin become an evening job?

The problem often begins much earlier in the customer journey.

Imagine an electrician on a ladder when a potential customer calls.

The call is missed.

Later there is a voicemail saying:

“Hi, I need some electrical work done. Can you call me?”

The electrician calls back and discovers they need to ask where the property is, what the problem is, whether the work is urgent, whether photographs are available and when somebody will be home.

None of those questions is difficult.

The problem is that the information was not captured when the enquiry began.

Multiply that across several customers and administration becomes a second shift.

Current Australian tradie advice repeatedly focuses on the same pressure points: quoting, scheduling, payment chasing, follow ups and entering information into several systems.

The first improvement, therefore, is not necessarily artificial intelligence.

It is reducing how often the same information has to be collected, typed and explained.

Start with the information you keep asking for

Look at the last ten enquiries your business received.

What did you have to ask almost every customer?

Their suburb?

Type of job?

Preferred timing?

Photographs?

Whether the property is residential or commercial?

Whether they need a quote or emergency attendance?

Those questions can become part of the enquiry process before you call the customer.

A useful website form does not need to interrogate somebody.

It simply gives you enough information to decide what should happen next.

That can turn:

“Please call me about a job”

into:

“Switchboard upgrade, three bedroom house in Frankston, photos attached, flexible next week.”

The second enquiry is much easier to act on.

Automation works better after the process makes sense

Sophiie’s pitch is that AI can sit across more of the journey, from the first customer enquiry through to completing the work and getting paid.

That may be useful for some businesses.

But automating a confusing process simply allows confusion to happen faster.

Before adding another platform, identify where the repetitive work actually occurs.

Are quotes written from scratch even though many jobs are similar?

Do customers call because they cannot tell whether you cover their suburb?

Are bookings written in one place and copied into another?

Do approved quotes sit unnoticed because nobody follows them up?

Are invoices generated several days after the work because nobody has time on site?

The best technology decision becomes much clearer once the leak is visible.

Your website can be the beginning of the workflow

A trades website should do more than prove that the business exists.

It can explain the services you actually want.

It can identify the areas you serve.

It can separate emergencies from planned work.

It can collect useful job details.

It can tell customers what happens after they submit an enquiry.

And it can direct information into a process that your team can actually use.

That is where Quiet Star Studio’s Business Website service can become relevant. The goal is not to make a tradie spend more time online. It is to make the website remove unnecessary work before the phone conversation begins.

The goal is not to eliminate every conversation

Some jobs need discussion.

A complicated renovation will not be quoted accurately through four form fields.

A distressed customer with an urgent problem may simply need a person.

The useful distinction is between conversations that create value and conversations that repeat information.

If technology removes the second kind, the owner has more capacity for the first.

Sophiie’s funding is interesting because investors are effectively betting on a familiar Australian business frustration: skilled people spending too much time on work that does not require their trade skill.

You do not need a $30 million technology company to begin fixing that.

Start with the repeated questions.

Then the duplicated tasks.

Then the follow ups.

Then decide what deserves automation.

If your evenings are disappearing into enquiries, quotes and repeated customer admin, Quiet Star Studio can help structure a business website around the information you actually need before a job reaches your desk.
